How to Search Inside Documents on Windows

· Sorcim Technologies

You remember the words, not the file name. The contract mentions a late fee. The invoice has the supplier’s name. The PDF is called Document (3). Windows can look for those words when the folder is part of its search index. A scanned page is different. Until something reads the letters, Windows is looking at a picture.

A search inside a document looks for words in the file, not only in the name.

Direct answer: You can search inside documents on Windows. Open the folder in File Explorer and search for the word. If the list is full of file names, start the search with content: so Windows looks at the text. Add the folder to the search index when it sits outside Documents or the desktop. When the page is a scan, or you want invoices grouped and an exact extra copy moved aside, use DocSkipper on that folder. The files stay on the PC.

Key takeaways

Why the file name is not enough

Downloads and email do this all the time. A contract arrives as a string of numbers. A second copy is saved to the desktop so you can read it on the train. A scan from a phone is a PDF of a photograph, with a name like Scan_001.

The name search still matters. If you know the file is called invoice, type that. The harder case is the sentence you remember and the name you do not. That search only works when the program can read the letters. A normal PDF and a Word file usually have those letters. A photo of a page does not, until the letters are read off the picture.

Two copies of the same contract also waste time. They look like two different jobs until you open both.

Compare the ways to look

WayGood forReads a scanned page?Groups invoices and contracts?
File ExplorerA word in a normal PDF, Word file, or other text file, in an indexed folderNo. The page has to contain real textNo
Opening each file and using FindOne file you already haveOnly if that file already has selectable textNo
DocSkipperA folder you choose, including a short look at the matching sentenceThe first two pages, with the text reader in WindowsCommon papers, when a rule matches. Others stay Unclassified

Start with File Explorer. Use DocSkipper when that search misses the scan, or when you also want the papers grouped and the exact extra copy set aside.

Method 1: Search the folder in File Explorer

Use this when the document is a normal file, not a picture of a page, and you know which folder it is in.

  1. Press the Windows key and E to open File Explorer.
  2. Open the folder that holds the documents. Start there, not at This PC.
  3. Click the search box at the top of the window.
  4. Type the word you remember. For a phrase, put the words in quotes, such as "late fee".
  5. If the results are mostly file names, type content: and then the word, with no space after the colon. content:invoice looks inside the file. content:"late fee" looks for that phrase.
  6. Open the file and read the page. A hit in the list is a clue, not proof that this is the copy you want.

Windows builds a search index so this can be quick. Search indexing in Windows explains the two choices. Classic covers Documents, Pictures, Music, and the desktop. Enhanced looks across the PC and uses more of the computer. To add one folder in Classic, open Settings, go to Privacy & security, then Search, choose Customize search locations, then Modify, and tick that folder.

For a file type that should be read, open Advanced on that same indexing screen, open File Types, select the extension, and choose Index Properties and File Contents. Properties only means Windows can still find the name, not the words inside.

Give the index time to finish before you decide the word is missing. A folder you just added is not searchable in full on the same second.

When the page is a scan

Open the PDF and try to select a word with the mouse. If the letters highlight, the file has text, and Method 1 can work once the folder is indexed. If the drag only draws a box on a picture, Windows has nothing to search.

That is the leftover job. The letters have to be read off the page first. DocSkipper can do that for the first two pages of a PDF, using the text reader already built into Windows. It does not read every page of a long scan, and it does not read a photo sitting in your Pictures folder.

How to search inside documents with DocSkipper

DocSkipper is a Windows app. You point it at a folder. It builds a library on the PC. Your documents are not uploaded.

You can try every part of the app for 14 days from the first time you open it on that computer. There is no document limit during those days. When the 14 days end, the register screen is the only screen until the app is activated. This article does not quote a price.

1. Add the folder

Open DocSkipper and choose Add path.

Leave the document types you care about turned on. The list is PDFs, Word and rich text, spreadsheets and CSV, presentations, text and Markdown, and code files. Then choose the folder.

Wait until the library check says it is complete. Documents then lists what was indexed. You can switch among Detailed, Cards, and List.

The search reads the words in PDFs, newer Word, Excel, and PowerPoint files, OpenDocument files, and plain text. Older .doc, .xls, .ppt, and .rtf files are found by name. The words inside those older files are not part of the library search.

2. Search for the word

Open Documents. Type the word or phrase in the search box.

A match from inside the file is marked Found in text, with a short bit of the sentence. Open the file and read it. A very long document is not copied into that line in full. A PDF larger than 100 MB is left out of the text search. The file can still be on the disk.

Open launches the file. Location shows it in File Explorer. You can also share or print from the same menu.

A locked PDF is marked protected. The app does not unlock it, and it does not show the hidden text.

3. Check the category

Classification groups papers the rules recognize, such as an invoice, a receipt, or a contract. Open a category to see those files in Documents.

A file that matches nothing stays Unclassified. That is a normal result, not an error. You can add your own rule under Rules, with the words you care about, and the library is sorted again. Built-in rules stay. You can delete only a rule you created.

Do not treat a category as a guarantee. Open the file. A letter that mentions an invoice is not always an invoice.

4. Move an exact extra copy

Deduplication groups files that have the same content, not files that only look related. The screen tells you that every file in a group is the same, that files are moved rather than deleted, and that the last copy stays.

Choose Retain newest or Retain oldest, or tick the extras yourself. Move selected asks for a folder, then asks you to confirm. The extra copies leave the library and sit in the folder you picked. One copy remains where it was.

This is only for documents DocSkipper indexed. Photos, videos, and other files belong to a different how-to: Find and delete duplicate files on Windows.

If the same words were edited into a second version, that is not an exact copy. Compare can put two files side by side and show the text that changed. It is a reading aid. It does not merge the files for you.

A scanned PDF, in the app

Settings includes Read text from scanned documents. It is on unless you turn it off. The app reads the first two pages in the background, then the document can be searched and classified from that text. The line under the switch counts how many files are waiting, read, or still without readable text.

Turn it off if you do not want that reading to run. Files already on disk are not removed.

Removing a path, or Clear database, takes the library out of DocSkipper. The confirm says the files on disk are not deleted.

What this search is not

FAQ

Can Windows 11 search inside a PDF?

Yes, when the PDF contains real text and the folder is indexed. Search from that folder. Use content: and the word if a plain search is only matching file names. A scanned PDF has no text for Windows to find until the page is read.

Why can’t File Explorer find a word I can see in the file?

The folder may not be in the index yet, or that file type may be set to properties only. A scan, a locked PDF, or an older .doc, .xls, .ppt, or .rtf file can also hide the words from a content search. Open the file and see whether you can select the letters.

Does DocSkipper read every page of a scan?

No. It reads the first two pages, and only while Read text from scanned documents is on. A long scan can still hide the word on page ten.

Will my documents be uploaded?

No. The library stays on the PC. The app contacts the internet to activate a license and to open the order page.

Does DocSkipper delete duplicate documents?

No. It moves the extra copies to a folder you choose and leaves the last copy in place. Removing the folder from the library, or clearing the database, does not delete the files on disk.

Can I use it on a Mac?

This app is for Windows. Do not expect the same library on a Mac.

What happens after 14 days?

The trial includes the whole app, with no cap on the number of documents. After 14 days the register screen covers the app until it is activated. Uninstalling does not start a fresh 14 days.

Search the folder you actually use

Start in File Explorer, in the folder where the document should be, and look for the word. If the page is a picture, or you want the invoices in one place and the exact extra copy moved aside, add that folder in DocSkipper and open the file before you act on it.
